  1. Use Built-in Cloud Protections


    • Google Drive: Right-click the file, select “Share,” and set access to “Restricted.” Only invited users can open it. You can also enable “View only” access and disable downloads.

    • Dropbox: Choose “Share,” then click “Link settings.” There you can add a password, set expiration dates, or turn off link sharing entirely.

    • SharePoint: Use “Manage Access” to restrict by email or internal organization only. You can also encrypt file-level permissions.


  2. Add Encryption for Extra Security Before uploading, you can encrypt sensitive PDFs or Excel sheets. Both Microsoft Office and Adobe Acrobat let you apply a password directly to a file—ideal for HR forms, contracts, or financial data.


  3. Create Layered Access Rules Passwords are a start, but structure matters too. Organize your folders so that only authorized board members, managers, or accountants can access certain levels.
